Checking Which Database Labtrac is Using

Labtrac uses a Microsoft Access Database to store data. The database is always called 'Labtrac.mdb' and always resides within a folder called 'Labtrac.'
The 'Labtrac' Folder is normally in the 'Program Files' folder of the computer which has been designated to be the server.
There are two ways of checking that Labtrac is using the correct database.
Firstly, every time Labtrac is closed down it brings up a message reminding the user to back up the database. As part of this message the pathname of the database being used is displayed. For example:
C:\Program Files\Labtrac\Labtrac.mdb
Secondly, whilst using Labtrac the pathname can be found by finding the Tree Menu on the left hand side and looking at the top of it. The pathname is shown just underneath the contents tab.

Compacting A Database

Compacting reduces the amount of space that a database takes up on a Hard Drive and can speed up the amount of time that Labtrac takes to fetch data.
Ensure that everyone has logged out of Labtrac and then identify where the Labtrac Database is held (see above). Using the computer on which the database is stored, navigate to the Labtrac Folder and Double Click on the 'Labtrac.mdb' icon. If an error occurs denying entry to the database then reboot the server computer and try again.
Once into Microsoft Access go to the 'Tools' Menu then select 'Database Utilities' and then choose 'Compact Database.'
The process can take a while depending on the size of the database.

Setting Up PCanywhere as Host

PCanywhere enables a user to dial in and view the screen of a host computer. This is sometimes required in order for Inventrix to diagnose a problem on a Laboratory computer.
The easiest way to set a computer as a host is to double click on an icon which says 'Be a Host For Inventrix' which may be on the main Desktop Screen.
If this icon does not exist then double click on the 'Symantec PCanywhere' icon. Select 'Host' from the buttons acress the top then click 'Modem' from the icons which appear in the middle of the screen.
Providing the modem is working and the telephone line is connected the remote computer should now be able to dial in.

Resetting a Completed Order to Launched Status

This is a facility within Labtrac which is provided to allow users to correct or change orders when they have been completed and invoice records created.
To change an order go the menu bar at the very top of the Labtrac screen and select 'Support' then 'Correct Invoice Transactions.' Find the invoice using the filters at the top of the form and clicking 'Refresh.' Then choose from the order numbers listed.
When the new 'Invoice Update' form appears select 'Launched' from the 'Order Status' dropdown list then click 'Update.' By clicking on the Surgeon dropdown list the dentist can be changed as well.
There is also the option of adding, changing or deleting Products or Materials by selecting the appropriate tab in the middle of the form.

Incorect Values in the Aged Debt Report

The Aged Debt information can either be viewed as a report on it's own or as part of Surgeon's Statement.
It shows the amounts which remain unpaid, month by month, for previously invoiced work.
To ensure that the report works from the correct month check that the 'Aged Debt Reference' in the 'Statement Manager' is set to the month from which the report is to work backwards from. This is usually the current month.

'The Current Schedule Date Has Exceeded The Max. Days Limit' Error

This error means that the job has failed to launch because there does not appear to be enough available resources in the lab to complete the job.
When this occurs it is worth checking that each department involved in working on the order has a technician assigned to it. Go to 'Laboratory Resources,' select the relevant department and ensure there is at least one member of staff working there.
If this is all in order then check to see what holidays are booked by going to the Laboratory Diary as this can affect technician availability.

'The Schedule Could Not Complete - Invalid Use of Null' Error

This error means that the job has failed to launch as it has encountered a problem with a lack of information.
Check the planning stages of each of the products involved in the order. Each product requires at least one planning stage.
